What is OCR?
Optical Character Recognition (OCR) software is a technique to digitalize optical characters in documents or photographs, which are scanned by image processing techniques, and to convert them text. It is possible to search in jpeg, tiff, image and pdf files with OCR program and to convert these files to word, excel, and pdf formats.
eBA Digitalization Management Application is using the infrastructure of Abbyy FineReader Engine, one of the most recognized OCR applications of the world. Abbyy FineReader makes it easier to work with printed documents and pdf files thanks to its robust conversion and OCR technology. You can convert scanned documents and pdf files to Word, Excel and searchable pdf documents with eBA Digitalization Management System application. Furthermore, the application’s compression and storage algorithms allow to create all scanned documents in a certain standard and to archive them.
Filing and Archiving
Today, one of the greatest problems of organizations is to digitalize silos of physical documents and to access them as well as to manage the physical locations of these docuuments, which must be stored due to regulatory requirements. Thanks to intelligent scanning features of eBA, it is possible to transfer these documents to electronic environment with tags while they are digitalized, to keep their physical location details and to ensure that their both digital and physical formats can be accessed quickly. This also allows to manage and access corporate knowledge through an electronic archival culture by using archiving systems and filing techniques.
Bimser’s eBA solution helps to transfer the documents quickly to electronic environment, to classify them, and to transfer them to other operational systems in case of necessity.
Data processing module supports full text search with technologies, such as OCR (optical character recognition) and ICR (intelligent character recognition) and allows persons to search not only the metadata or tag details of documents but also their content when accessing them, which makes it possible to find relevant documents automatically. It even allows people to reach other associated documents quickly when he/she reaches a document. This minimizes the loss of time and increases the productivity of organizations since employees effectively use their time. Documents are tagged and searched documents are made available quite fast thanks to technologies, such as ML (Machine Learning) and AI(Artificial Intelligence) being used by the module and document tag details are created automatically when creating the document.
It can also be applied on image formats, such as tiff, pdf, bmp, and jpeg, thanks to Abbyy Fine Reader Engine, which is widely accepted as data processing OCR engine. OCR support makes it possible to store index details automatically as XML metadata and to transfer physical documents, such as invoices, contracts, waybills, etc. automatically and quickly to digital archive through document recognition, data recognition, data capturing and data processing methods.
Thanks to image processing function of eBA Document and Workflow Management System, it is possible to perform B&W, grayscale and colored scanning of physical documents and to convert them (pdf to jpeg, jpeg to pdf, pdf to tiff, tiff to pdf, pdf to bmp, bpm to pdf, pdf to png, png to pdf, pdf to word, pdf to excel). Image processing function do also have image improvement features, such as removal of blank pages, orientation, deskewing, noise reduction, resolution and size correction, etc.
With eBA Capture module, you can separate documents, based on the number of pages, by barcode and by using the keywords of scanned document. Applicable actions can be taken for identified types of documents and they can be archived to document management system, enterprise content management system (ECM), and index system or the scenarios of including the document to the process and approving and archiving it through a workflow can be executed. It is also possible to match the tags, which are not available on the document, during the scanning as integrated with other operational systems in order for any additional information that is found necessary.
In addition to the digitalization of physical document archive, inclusion of daily received physical or digital documents to the operation by eBA Capture helps to save time, effort and cost. After the scanning is completed or electronic document is uploaded to the application, identifying, tagging, including to relevant workflow and archiving the document type are performed automatically. It is even possible to manage all these processes through robots thanks to Robotic Process Automation (RPA) architecture, which is available in the module’s infrastructure, after making necessary configurations. It is possible to connect to the enterprise applications and check the accuracy of documents with these intelligent reports and to direct erroneous or ineligible documents to a pool.
